Task 2: Setting Collaborative Tools For Project WorkYou and your team members will need to collaborate online (and face-to-face if possible) to complete the projects for this course. You will be in the same group for all three mini-projects so this means you will need some standards for creating documents and for communicating with each other. There are a variety of electronic collaborative tools that are available to you including emails within Canvas and your student email. You can utilize other external tools of your choice for emails if you prefer. But the goal for this task is for you to research some of these tools and choose three specific tools that you all agree to use for collaborating and communicating with each other to complete your projects.
1. Explore Microsoft Office and Teams The IT department at college has made Office 365 applications available to everyone in this class. I recommend you check out these tools first before researching other options as they are industry standard tools for collaborative teamwork on projects. You can review these tools by logging into Microsoft Online using your regular student email account as your user account information and your regular password associated with your student login. I recommend you download the 365 Office programs to your computer or mobile device (I believe you can download the Office suite up to 5 devices.) and use Microsoft Word as your word processor program, PowerPoint as your presentation program, Excel as your spreadsheet program, Access as your database option and Microsoft Teams as your collaborative shared application. You are welcome to use online resources such as Google applications like Docs,Sheets, Slides, Forms but Google will require you to have a Gmail account set up before you can use these applications. (See syllabus to create new Gmail account for use in this class.)
2. Explore Communications Tools. You currently have an active student email with your college student status. You can also use other communication apps like Google Gmail. It also has become standard that meetings include a virtual meeting space for those who can not attend in person. You should be familiar with tools that allow team members to join meetings virtually (like Zoom, FaceTime, Skype, Hangout, etc.). Your team should research and consider some of these applications as communication tools to help you with executing your mini-projects. You have access to Zoom with your student credentials. Make a Zoom account as described in the course syllabus to use this platform as your videoconferencing solution.
Social media accounts are acceptable platforms as well but please create a different account using your student Gmail account if you plan to use Twitter, Facebook, Snapchat, Instagram, etc. to do your collaborative work. If you need to explore tools that require you to signup before you can try them, also use the Gmail account you’ve created at the beginning of this class. Keep your personal accounts personal for all your coursework and use only your student email or the Gmail account to avoid spam from third party vendors in your personal accounts. You may want to connect via texting or phone as well. If so, please be willing to share your contact info with your group.
3. Explore Other Online Collaborative Tools. You may want to check out other collaborative applications like Slack and Trello. According to a recent TechRadar article, these are the seven best online collaborative tools for 2021. Microsoft 365/Teams, Slack, Asana, Trello, Podio, Ryver, and Flock. Other mentionable software in this article are: Visme, Basecamp, Wrike, Monday.com.
You don’t need to use any of these applications for your projects, but you should have a basic understanding of what these applications can do as they are often used by big companies to manage team projects on-site and off-site. Generally these applications include application program interfaces that embed social media accounts like Twitter, Facebook, etc. or messaging programs like Remindin their services.
After looking at some of these tools with your team members, please submit a summary of your three chosen tools for the following categories. You may choose as many applications as you need for each section. Also keep in mind that not everybody is using the same types of devices and operating systems so some applications may not work well for some people. Choose applications and tools that are functional for everyone on your team.
Productivity Tools. What are your choices for word processing, presentation, budgeting and scheduling, and/or other tasks-oriented applications? Describe how you will use them for your projects.
Communication Tools. What are your choices for asynchronous and synchronous communications? Include an email and videoconferencing platform; you can just use your student email and Zoom account as required for this class but you may want options like text and phone options. Describe how you will use each application.
Collaboration Tools. In choosing an online collaborative platform like Microsoft Teams/Slack, you can integrate your productivity and communication tools within the application. Choose a collaboration platform that includes access to a shared drive where all team members can post and update content. Describe why your group choose this platform and how you will use your chosen platform to collaborate and complete your projects. Please choose Microsoft teams for this part.
Save the document as your group name_Project1_Tools and submit to Canvas when you are done.
